Content toolbelt: Microsoft Office Applications

 

Microsoft Office includes three popular applications, Excel, Word and PowerPoint. Most of us have been using these applications for years. For each application, I'd like to clearly define the scenarios where one would be a better fit over the others. I choose PowerPoint as the best application to best communicate online blog content.


Microsoft Excel
Excel is a spreadsheet application that organizes and reports data very effectively and is considered the industry gold-standard. Entering information and adding the simple calculations to easily collect and summarize the data is quick and easy. The chart feature is intuitive and makes it easy to communicate information to others. This application is best for accounting, inventory tracking or any function that requires large amounts of categorical data. I found it ineffective to use for online content because it doesn’t easily allow the use of graphics and additional information to add description and enhance my online blog content.

Microsoft Word
Word is always a great application for writing and has the ability to add formatting and images to capture what the writer is trying to communicate. Word is a good application to capture online blog content, but it is better to use when writing books, essays and journalistic content. According to Sarah Bailey a consultant in presentation and content design (2021), Word is focused on words and creating a “graphical representation is much more difficult than creating the presentation in PowerPoint”. Online content is typically graphic, photo and video based to communicate to readers and would better be created using PowerPoint. 

Microsoft PowerPoint
PowerPoint is my application of choice for capturing and communicating online information. It is easy to create and format slides with graphics and images to easily engage my readers. It is not, however, a good application for collecting data, like Excel, or for ongoing journaling, like Word. Sarah Bailey goes on to write about PowerPoint and how it is used to present visuals to an audience and “Emphasizes the Action”. PowerPoint is used to display information in an engaging and fun way for readers and supports the purpose of online and blog content. For this reason, PowerPoint is my choice for writing online and blog content.

Summary
There are many applications that can be used to write content and communicate information. Each forum has its own purpose and audience. Microsoft provides several applications for collecting and sharing information depending on the purpose. I choose PowerPoint because it is the best fit for the information and forum for my blog content.
